1. Introduction
1.1 School’s Commitment
Australian Dance Arts Pty Ltd (ABN 18 621 838 051), trading as Tanya Pearson Academy (TPA) (the School, TPA, we, us, our), is committed to providing high-quality dance training and related services in a safe, supportive, and professional environment.
1.2 Your Commitment
By enrolling at TPA, you (and where applicable, your child) agree to:
(a) comply with these Terms and Conditions and all School policies (as updated from time to time);
(b) meet all fee and payment obligations when due; and
(c) behave respectfully towards staff, students, and the broader School community.
1.3 Policy Updates
We may update these Terms and Conditions and associated policies to reflect changes in operations, legal requirements, or best practice.
1.4 Notice of Changes
Where changes are significant, we will notify families by email and/or via our website and Parent Portal. We will aim to provide at least four (4) weeks’ notice prior to the start of the school term before changes take effect.
1.5 Acceptance of Changes
Continued enrolment and participation after the effective date of updates constitutes acceptance of the updated terms. If you do not agree, you may withdraw before the effective date in accordance with Section 7.
1.6 Acknowledgement
By completing the enrolment process, families confirm they have read, understood, and agree to these Terms and Conditions. We may require acknowledgement by digital or physical signature, or by ticking a checkbox in the enrolment process.
2. Enrolment
2.1 Automatic Rollover
(a) Term-to-Term Rollover (within the same calendar year)
Enrolments automatically roll over from term to term within the same calendar year unless the School receives written cancellation by email to management@tanyapearsonacademy.com.au at least 14 days before the current term ends.
If cancellation is received after that deadline, the cancellation will take effect at the end of the following term and fees for the upcoming term remain payable in full.
(b) Year-to-Year Rollover
Enrolments automatically roll over into the next school year unless cancelled in writing by the final day of Term 4. Students will be placed in mandatory classes appropriate for their progression level for the new school year. Additional/elective class enrolments may be requested separately and are subject to availability.
(c) Adequate Notice
Families must provide adequate notice of discontinuation to allow waitlisted students to access places.
2.2 Age and Eligibility
Students must meet the age and eligibility requirements for their selected classes or programs. The School reserves the right to place students in appropriate levels based on skill, experience, and progression needs.
2.3 Late Enrolments and Adding Classes
(a) New students enrolling after Week 3 of a term will pay a pro-rata term fee based on the remaining weeks of the term.
(b) Existing students adding new classes after Week 3 will pay a pro-rata fee for the added classes only.
(c) Term fees for classes enrolled in at the start of the term remain payable in full.
2.4 No Pro-Rata for Missed Classes
Missed classes are not eligible for pro-rata adjustments, credits, or refunds, except as expressly set out in Section 7 or where required by law.
The School may consider a credit in limited circumstances where all of the following apply:
(a) the student misses four (4) or more consecutive weeks due to medical reasons and a valid medical certificate is provided; or
(b) there are exceptional circumstances of genuine hardship or unforeseen events (excluding holidays or personal travel), supported by evidence; and
(c) the written request is submitted within fourteen (14) days of the conclusion of the missed classes.
Any approved adjustment will be provided as a credit for future classes (not a refund), unless required by law.
2.5 Concert Participation
Participation in the annual concert is expected. If a student cannot participate, written notice must be provided at least twelve (12) weeks prior to the concert date to allow adjustments to costume orders. If participating, attendance at concert-related classes and rehearsals is mandatory.
3. Fees and Payments
3.1 Fee Structure
All fees and charges are set out in the School’s Schedule of Fees, published annually and available through the School Office and/or Parent Portal.
3.2 Term Fees
(a) All classes and programs are charged on a term basis.
(b) Fees are payable in Australian dollars (AUD) and include GST where applicable.
(c) Fees must be paid in full prior to the commencement of the term or by the invoice due date (whichever is earlier), unless a payment plan has been approved in writing by the School.
(d) Tuition fees are generally non-refundable once paid, except as set out in Section 7 or where required by law.
(e) Missed classes due to illness, holidays, or personal circumstances are not refundable or transferable, except as set out in Section 7 or where required by law.
3.3 Enrolment Registration Fee
A one-off enrolment registration fee of $35 applies to all new students upon enrolment. This fee is non-refundable except where required by law.
3.4 Non-Transferability
All fees are non-transferable between students.
3.5 Additional Charges
(a) Additional charges may apply for productions, examinations, costumes, workshops, and other activities and will be invoiced separately.
(b) The Costume and Video Production Fee (where applicable) is mandatory and must be paid by the due date.
(c) Costume, production, and examination fees are non-refundable once paid, except where required by law or where the third-party provider’s refund policy applies (if relevant).
3.6 Private Lessons
(a) Private lessons must be booked through the School office (or the process advised by the School).
(b) Private lesson fees are paid separately to the teacher and must be paid prior to the lesson in accordance with the School’s Private Lesson Policy.
3.7 Payment Methods
(a) Payments may be made by EFT, direct debit, or credit/debit card via the Online Parent Portal.
(b) Cash payments are not accepted.
(c) Families must ensure correct payment details are used, including student name and invoice number for EFT.
(d) Credit card and direct debit payments may incur processing charges. Any applicable charges will be disclosed prior to payment processing and may be adjusted to reflect processing costs with reasonable notice.
3.8 General Payment Conditions
(a) The School may suspend access to all services (including classes, private lessons, rehearsals, performances, examinations, events, and studio access) where payment is overdue and no approved payment arrangement is in place, or where there are repeated payment failures.
(b) Families are responsible for ensuring payment arrangements remain active and accurate.
(c) Changes to direct debit or card details must be provided in writing at least fourteen (14) days prior to the next scheduled payment (or such other timeframe reasonably required by the payment processor).
3.9 Late Payment Policy
To ensure the School’s financial stability and fairness:
(a) Late payment fee: A $50 late payment fee may be applied if fees remain unpaid fourteen (14) days after the invoice due date.
(b) Final demand: A final seven (7) day notice may be issued specifying the overdue balance and deadline for payment.
(c) Overdue surcharge: A 5% surcharge may be applied if payment remains outstanding thirty (30) days after the invoice due date.
(d) Escalation and enforcement: If fees remain unpaid forty-two (42) days beyond the invoice due date, the School may, without further notice:
(i) refer the outstanding balance to a third-party debt collection agency;
(ii) commence legal recovery proceedings; and/or
(iii) terminate the student’s enrolment.
Any reasonable recovery costs (including third-party collection fees, administrative costs, and reasonable legal costs) may be added to the outstanding balance where permitted by law.
(f) Default interest: At the School’s discretion, interest may be applied to overdue balances at a rate permitted by law.
All fees, surcharges, interest, and recovery costs will be applied in accordance with applicable laws, including the Australian Consumer Law, and will not exceed amounts permitted by law.
3.10 Payment Plans
Payment plans may be offered at the School’s discretion and are subject to the following:
(a) Set-up fee: A $25 non-refundable fee (inclusive of GST) applies.
(b) Request: Requests must be submitted in writing to management@tanyapearsonacademy.com.au before the start of the term. Late requests may be refused unless exceptional circumstances apply.
(c) Approval: A payment plan is not active until confirmed in writing by the School.
(d) Surcharge: A 5% surcharge applies to total term fees under payment plans to cover administrative and processing costs.
(e) Instalments: Instalments will be scheduled weekly or fortnightly as agreed, with total fees payable by the end of the term.
(f) Missed instalments: Each missed instalment may incur a $35 administration fee. Repeated missed payments may void the plan and the full outstanding balance becomes immediately due and payable.
(g) Direct debit (GoCardless): Payment plans must be paid by direct debit via the School’s nominated provider (GoCardless) (or any replacement provider nominated by the School from time to time). Failed direct debit transactions may incur bank or administrative charges, which may be added to the account where permitted by law.
(h) Changes to details: Changes to direct debit details must be provided in writing at least seven (7) days before the next scheduled payment (or such other timeframe reasonably required by the payment processor).
(i) Eligibility and attendance condition: Students with overdue balances and no compliant payment arrangement in place are not eligible for enrolment continuation or participation in classes, rehearsals, performances, private lessons, examinations, or any other School services until overdue amounts are cleared in full, unless otherwise approved in writing by the School.
(j) Revocation: The School may revoke payment plan privileges if obligations are not met.
3.10A Mandatory payment plan requirement for overdue accounts
(a) Measurement: “Overdue” is measured from the invoice due date.
(b) Mandatory requirement: Where an account remains unpaid seven (7) days after the invoice due date and no written payment agreement has been made, the account holder must enter into a payment plan by direct debit via GoCardless (or the School’s nominated replacement provider) as a condition of continued participation.
(c) Suspension for no agreement: If an account is more than seven (7) days overdue and no compliant payment arrangement is in place, the School will suspend access to services in accordance with Section 3.8(a) until the overdue amount is paid in full or a payment plan is confirmed in writing by the School.
3.11 Early Payment Policy
(a) Term discount: A 5% discount on tuition fees applies where full term tuition is paid by the early payment due date stated on the invoice.
(b) Annual discount: A 10% discount applies where full year tuition (all terms combined) is paid by the early payment due date stated on the Term 1 invoice.
(c) Exclusions: Early payment discounts apply to tuition fees only and exclude examinations, workshops, private lessons, eisteddfods, costumes, production fees, and other associated costs.
(d) Adjustments: Any refund/credit for early payments (if applicable) will be calculated on the discounted amount paid and administered in accordance with Section 7 (and subject to legal requirements).
(e) Additional enrolments: Enrolments added after the early payment deadline are charged at standard rates and do not attract early payment discounts.
3.12 Discounts
(a) Sibling discount: A 10% discount applies to tuition fees for the second and subsequent siblings enrolled concurrently. It excludes additional charges.
(b) Multiple class discount: Where offered, multiple class discounts apply in accordance with the fee schedule.
3.13 Partial Program Fee Policy for Medical Recovery
This policy supports students recovering from a verified injury/medical condition who actively attend a reduced schedule. It applies only where the student cannot attend more than 30% of their mandatory scheduled classes for the term due to medical recovery.
(a) Not applicable to:
(i) students unable to attend any classes during the term;
(ii) absences unrelated to medical recovery (including holidays or personal travel);
(iii) short-term illnesses/absences of less than four (4) consecutive weeks.
(b) Requirements:
(i) written request submitted as soon as practicable;
(ii) valid medical certificate stating condition/injury, recovery duration, and limitations;
(iii) participation in a reduced schedule approved by the School.
(c) Fee calculation:
Fees are calculated based on the classes in the approved reduced program, at $330 per 60-minute class for the term plus a $35 administration fee per term (unless otherwise advised in the fee schedule).
(d) Conditions:
(i) not applied retrospectively for completed terms;
(ii) additional attendance beyond the reduced program may incur additional charges;
(iii) School discretion applies based on documentation and operational requirements;
(iv) may be applied for up to three consecutive terms, after which enrolment status may be reviewed.
(e) Return to full program:
Medical clearance may be required before resuming full participation.
3.14 Medical Leave Policy (Full-Term Inability to Attend)
This policy applies where a student is unable to attend any mandatory classes for the term due to a verified injury/medical condition.
(a) Requirements:
(i) written request submitted as soon as practicable;
(ii) valid medical certificate confirming the student cannot attend for the term and estimated duration.
(b) Medical hold fee:
To retain the student’s place, families will be charged:
(i) a medical hold fee equal to 20% of the standard term fee for the student’s mandatory classes; and
(ii) a $35 administration fee per term.
These fees are non-refundable except where required by law and must be paid by the invoice due date to retain enrolment.
(c) Failure to pay:
If the hold fee is not paid by the due date, the student’s place may be forfeited.
(d) Return:
Medical clearance may be required. Standard term fees apply from the term the student resumes attendance.
(e) Multi-term:
May apply for up to three consecutive terms, after which continued participation may require review and/or a new agreement.
3.15 Leave of Absence Policy (Non-Medical)
(a) Students may request a leave of absence for one term per calendar year, subject to prior written approval. Requests must be submitted at least four (4) weeks before the term begins.
(b) The student’s placement will be retained during the leave period.
(c) Access during leave is limited and may include online resources or studio access (if offered), subject to availability and School approval.
(d) Students on leave may not attend regular classes, rehearsals, performances, or competitions during the leave term.
(e) A non-refundable leave fee equal to 20% of the standard term fee applies to retain placement (except where required by law).
(f) Families must confirm intent to return at least two (2) weeks before the next term begins; failure to confirm may result in loss of placement.
4. Attendance and Conduct
4.1 Attendance
Students are expected to maintain consistent attendance. The School requires a minimum of 80% attendance for eligibility to participate in examinations, performances, and competitions, unless otherwise determined by the School.
Failure to meet attendance requirements may result in:
(a) exclusion from exams, performances, or competitions; and/or
(b) requirement for additional private lessons at the student’s cost, at the School’s discretion.
4.2 Behavioural Expectations
Respectful behaviour is mandatory for students, parents/guardians, and associated individuals. This extends to interactions with third parties, including event staff, volunteers, other tenants, and visitors.
(a) Prohibited Behaviour
Prohibited behaviour includes (without limitation):
(i) bullying, harassment, intimidation, or abusive conduct (verbal, physical, or online);
(ii) disrespect towards staff, students, School property, or third parties;
(iii) failure to follow instructions from School staff or authorised event personnel;
(iv) behaviour that compromises safety, welfare, or the experience of others.
(b) Consequences
Depending on severity and frequency, the School may take one or more of the following actions:
(i) verbal or written warning;
(ii) suspension from classes, rehearsals, performances, or events;
(iii) termination of enrolment and/or restricted access for offending parties.
Where permitted by law and consistent with Section 7, fees may be forfeited.
(c) Reporting
Concerns may be reported to management@tanyapearsonacademy.com.au. The School may implement measures such as mediation, support plans, or referrals where appropriate.
(d) Appeals
Families may request a review of suspension/termination/restricted access decisions by submitting a written appeal to the School Director within seven (7) days of notice. The School Director’s decision will be final.
4.3 School’s Rights
The School may:
(a) refuse entry to classes or events for disruptive or inappropriate behaviour;
(b) adjust or terminate a student’s participation if conduct negatively impacts others or operations;
(c) enforce disciplinary measures, including suspension or expulsion, in accordance with these Terms.
4.4 Uniform Policy
(a) Students must wear the designated uniform for classes, rehearsals, and performances unless otherwise instructed.
(b) Uniform must be clean, properly fitted, and in good condition, and hair must be secured according to grooming standards.
(c) Uniforms must be purchased from the School or approved vendors and are non-refundable after purchase (except where required by law).
(d) Failure to comply may result in the student being unable to participate at the teacher’s discretion, and repeated non-compliance may result in disciplinary action.
5. Health, Safety, and Wellbeing
5.1 Fitness to Participate
By enrolling, families confirm the student is physically and mentally fit to participate. Pre-existing injuries, medical conditions, or limitations must be disclosed in writing prior to enrolment, and changes must be promptly reported.
5.2 Injuries and Medical Emergencies
(a) The School takes reasonable precautions to provide a safe environment.
(b) Basic first aid may be administered and parents/guardians will be notified.
(c) For serious emergencies, the School may seek professional assistance and/or arrange transport to a medical facility. Families are responsible for emergency medical costs, including ambulance services.
(d) The School is not liable for injuries or medical expenses except to the extent caused by the School’s proven negligence or as otherwise required by law.
5.2A Emergency Authority
If a student requires urgent medical attention and the parent/guardian cannot be contacted, you authorise the School to arrange first aid and/or emergency medical treatment, including ambulance transport, as reasonably necessary in the circumstances. All costs associated with medical treatment and transport remain the responsibility of the parent/guardian.
5.3 Contagious Illness
Students must not attend when unwell with a contagious illness. Medical clearance may be required before return.
5.4 Unforeseen Circumstances and Service Disruptions
Where disruptions occur beyond the School’s reasonable control (including pandemics, government restrictions, extreme weather, natural disasters, emergencies):
(a) the School may cancel classes or modify schedules;
(b) where permitted by law, fees are not refundable or transferable for cancellations due to events outside the School’s control;
(c) families will be notified by email/SMS/website/Parent Portal as appropriate;
(d) families must keep contact details up to date.
Refunds and credits (if any) are governed exclusively by Section 7 and applicable law.
5.5 Heatwave Measures
During extreme heat, the School may prioritise safety by cancelling classes when conditions are unsafe. Rescheduled sessions may be offered only where feasible within the same term.
5.6 Force Majeure
The School is not liable for failure or delay in performance due to events beyond its reasonable control (including natural disasters, pandemics, government actions, labour strikes, and other unforeseen events). In the event of inconsistency, this Section 5.6 prevails to the extent permitted by law.
6. Intellectual Property and Media Use
6.1 Choreography and Class Content
All choreography, class content, performance materials, and related intellectual property remain the exclusive property of the School and/or its staff and licensors.
Unauthorised recording, reproduction, distribution, or use of School materials beyond School-related activities is prohibited. Written permission is required for any public use or distribution.
6.2 Media Use
The School may photograph or film students during classes, rehearsals, and performances for promotional purposes, including use on the School’s website, social media, newsletters, marketing materials, and publications that positively represent School activities.
6.3 Consent and Opt-Out
By enrolling, families consent to media use as described above. Families who do not wish for their child to appear in promotional media must opt out by notifying the School in writing at management@tanyapearsonacademy.com.au prior to the start of the term. Opt-out applies prospectively and cannot be applied retroactively.
6.4 Student Privacy
The School will take reasonable steps to ensure media is used respectfully and professionally, consistent with School values.
6.5 Recording by Families and Third Parties
(a) Families/students must not record classes, rehearsals, or performances without prior written consent of the School.
(b) Unauthorised recordings must be deleted upon request.
(c) Third-party photographers/videographers require prior written approval.
6.6 Copyright Compliance
The School complies with applicable copyright laws regarding music, choreography, and media. Families must respect the intellectual property rights of the School and affiliated artists/instructors.
7. Withdrawal, Cancellation, Refunds and Credits
7.1 Withdrawal by Families
Withdrawal requests must be submitted in writing to management@tanyapearsonacademy.com.au at least 14 days before the current term ends.
If received after the final day of the term, withdrawal will take effect at the end of the following term and fees for the upcoming term remain payable in full.
7.2 Cancellation by the School
The School may cancel enrolment where:
(a) there are breaches of these Terms or School policies;
(b) behaviour compromises safety, welfare, or educational experience;
(c) fees remain unpaid and reasonable notice/opportunity to remedy has been provided; or
(d) other exceptional circumstances exist where continued enrolment is not in the best interests of the student, other students, or the School.
The School may cancel immediately in cases of severe misconduct or safety concerns.
7.3 Refunds and Credits
Refunds or credits will be considered only in the circumstances below and subject to applicable law:
(a) Medical Grounds
Where a student is unable to attend for an extended period of four (4) or more consecutive weeks, a written request and valid medical certificate must be submitted within fourteen (14) days of the absence. The School may, at its discretion, provide a credit towards future classes.
(b) Exceptional Circumstances
Genuine hardship or unforeseen events (for example, relocation or bereavement) may be assessed case-by-case. Approval is at the School’s discretion, subject to applicable law.
(c) Form of Adjustment
Where approved, adjustments will generally be provided as a credit for future services. Refunds will only be provided where required by law or where the School determines a refund is appropriate.
(d) Administration Fees
Where permitted, administration fees may be deducted from any approved refund.
7.4 Non-Refundable Fees
Subject to applicable law, the following are non-refundable:
(a) missed classes due to holidays or personal travel;
(b) production fees where the School has not been notified of non-participation at least twelve (12) weeks prior to the concert date;
(c) administrative fees, including enrolment registration fees;
(d) costs already committed to third parties on your behalf (for example costumes or exam body payments), except as otherwise provided by the third party or required by law.
7.5 Exam Fees
(a) Exam fees are invoiced separately and must be paid by the due date.
(b) Exam fees are generally non-refundable by the School once invoiced, as they may be paid to examining bodies (for example RAD, Cecchetti).
(c) Refunds/credits for exam withdrawals are subject to the examining body’s terms. The School may assist with applications but cannot guarantee outcomes.
(d) The School may withhold a student’s exam entry if the student is unprepared, even if fees are paid. Where this occurs, fees are non-refundable except where required by law or as otherwise determined by the School.
(e) Additional private coaching required for exam preparation may be charged separately and is non-refundable except where required by law.
7.6 Australian Consumer Law
Nothing in these Terms excludes, restricts, or modifies any rights or remedies you may have under the Australian Consumer Law or other applicable legislation. Where the law requires a refund, credit, or other remedy, the School will comply.
8. Amendments and Legal Compliance
8.1 Amendments
The School may amend these Terms and Conditions from time to time. Updated versions will be communicated and/or published. Continued enrolment signifies agreement with updated terms.
8.2 Governing Law
These Terms are governed by the laws of New South Wales and the Commonwealth of Australia. Any disputes will be subject to the jurisdiction of NSW courts, unless otherwise required by law.
9. Confidentiality
Families must keep confidential any School materials, communications, policies, class content, or proprietary information that is not publicly available, and must not share it without the School’s authorisation.
10. Liability and Indemnity
10.1 Assumption of Risk
You acknowledge that participation in dance and physical activities involves inherent risks which may result in injury. Injuries may be minor or serious and may include (without limitation) sprains, strains, fractures, concussion, permanent injury and, in very rare circumstances, death. You accept these inherent risks to the extent permitted by law.10.2 Exclusion of Liability (to the extent permitted by law)
The School is not responsible for:
(a) loss, theft, or damage to personal belongings on or off School premises;
(b) injuries or damages sustained during School activities, except to the extent caused by the School’s proven negligence;
(c) incidents occurring outside School premises, including travel to/from activities;
(d) incidents arising from third-party venues or activities outside School facilities.
10.2 Responsibility for Valuables
Families are strongly advised not to bring valuables. The School accepts no responsibility for loss or damage, to the extent permitted by law.
10.3 Supervision and Compliance
Students must follow staff instructions and safety guidelines. The School is not liable for injuries resulting from failure to follow instructions or reckless behaviour, to the extent permitted by law.
10.4 Indemnity (to the extent permitted by law)
You agree to indemnify the School, its staff, and affiliates against claims, liabilities, damages, and costs arising from:
(a) breaches of these Terms;
(b) misuse of School property/facilities;
(c) failure to follow safety guidelines or instructions;
(d) unlawful acts or omissions by you or the student.
11. Complaints and Feedback
11.1 Complaints Process
Complaints must be submitted in writing to management@tanyapearsonacademy.com.au, including details, supporting information, and the desired resolution. The School aims to respond within fourteen (14) days.
11.2 Dispute Resolution
If unresolved:
(a) the matter may be escalated in writing to the School Director, who will respond within fourteen (14) business days;
(b) either party may request mediation through an independent mediator (for example the Australian Disputes Centre), with costs shared equally unless otherwise agreed;
(c) if mediation fails, the matter may proceed to arbitration or legal proceedings as applicable.
All parties agree to act in good faith throughout the process.
12. Anti-Discrimination and Child Protection
12.1 Inclusion and Safety
The School is committed to a safe, inclusive, respectful environment regardless of age, race, gender, sexual orientation, disability, religion, or cultural background. Discrimination, bullying, and harassment are prohibited.
12.2 Child Protection Compliance
The School complies with relevant child protection laws, including the Children and Young Persons (Care and Protection) Act 1998 (NSW) and the Child Protection (Working with Children) Act 2012 (NSW). Staff and volunteers hold valid WWCC clearances as required.
12.3 Mandatory Reporting
The School will manage concerns in accordance with legal obligations, including reporting where required.
12.4 Reporting
Concerns may be reported to management@tanyapearsonacademy.com.au. The School will respond promptly and investigate in line with its policies.
13. Exclusivity of Enrolment
13.1 Purpose
This policy supports consistent training, safeguards student development, prevents conflicts of interest, and supports the School’s curriculum and values.
13.2 General Requirement
TPA students are expected to prioritise TPA training, performances, and workshops. Participation in external training activities (including private lessons, workshops, masterclasses, or performances affiliated with other schools/tutors/organisations) is restricted unless approved in writing by TPA.
This policy does not apply to:
(a) Affiliate students;
(b) Extension Program students attending specific TPA extension programs while remaining enrolled at another school;
(c) Postgraduate students in TPA’s Postgraduate Full-Time Program, Springboard Dance International.
13.3 External Training
External training is not permitted unless written approval is obtained. Requests must be submitted in writing at least four (4) weeks in advance, including purpose and relevance. Approval is at the School’s discretion.
13.4 External Performances and Competitions
Participation in external competitions, eisteddfods, or performances that conflict with TPA activities is not permitted unless:
(a) written approval is obtained; and
(b) the activity aligns with TPA goals and does not conflict with TPA schedule, curriculum, or values.
13.5 Breach
Unapproved participation may result in disciplinary action, including suspension or termination of enrolment.
13.6 Scope of Approval
Any approval (if granted) applies only to the specific activity and timeframe approved and does not constitute ongoing consent.

15. Privacy and Data Protection
15.1 Collection of Personal Information
The School collects personal information for enrolment, education, administration, safety, and operational purposes, including:
(a) student and family contact details;
(b) medical information necessary for student safety;
(c) payment and financial details;
(d) media preferences/consents.
Sensitive information will be collected with consent unless required by law.
15.2 Use and Storage
Personal information is used for School operations, communication, student support, payment processing, and approved promotions. The School stores information securely using appropriate technical and organisational measures.
15.3 Consent and Media Opt-Out
By enrolling, families consent to collection/use as described. Families may opt out of promotional media by written request prior to the start of term.
15.4 Disclosure to Third Parties
The School may disclose personal information to trusted service providers for payment processing, communications/marketing systems, and regulatory compliance. Third parties must comply with confidentiality and data protection requirements. The School does not sell personal information.

16.1 Purpose
The Parent Portal provides access to:
(a) enrolment information;
(b) invoices and payment history;
(c) current Terms and Conditions and important policies.
16.2 Access and Responsibilities
(a) Families receive login credentials upon enrolment.
(b) Families must keep credentials secure and notify the School if compromised.
(c) Families are responsible for reviewing the Parent Portal for accurate and current information.
16.3 Technical Support
Technical issues should be reported to management@tanyapearsonacademy.com.au. The School is not liable for issues outside its control (for example internet outages or device incompatibility), to the extent permitted by law.
16.4 Updates and Notifications
The Parent Portal may be updated periodically. Significant updates may be communicated via email or other methods.
16.5 Acceptable Use
The Parent Portal is for authorised family use only and must not be misused. Use of the Portal is subject to these Terms.
